Our Commitment to Privacy

MG Software Solutions L.P. operates PadelMate and is committed to safeguarding the privacy of all users — including club owners, coaches, and players. By using our Service, you agree to the collection and use of your information in accordance with this policy.

We process personal data only for the purposes described in this policy, and only to the extent necessary to deliver a high-quality platform for padel club management.

Information We Collect

When you create an account on PadelMate, we collect the following personal information:

Full name

Email address

Phone number

Country of residence

Profile picture (optional)

Club name and details (for club owners)

Payment information — processed securely by Stripe; we do not store card details

We also automatically collect certain technical data when you use the platform, including your IP address, browser type, device type, and usage patterns. This data is used solely for platform performance and security purposes.

How We Use Your Information

We use your personal data strictly to deliver, maintain, and improve the PadelMate service:

To create and manage your user account and club profile

To process court bookings, subscriptions, and payments

To calculate player rankings and display match statistics

To send booking confirmations, match notifications, and service updates

To personalise your experience on the platform

To provide customer support and respond to queries

To monitor and improve platform performance and security

To comply with applicable legal obligations

Data Retention

We retain your personal data for as long as your account remains active, or as required to provide our services and comply with legal obligations. If you close your account or request deletion, we will permanently delete your personal data within 30 days, unless retention is required by applicable law.

Anonymised and aggregated usage data (which cannot identify you) may be retained indefinitely for platform analytics and improvement.

Security

We use industry-standard security measures to protect your data, including TLS encryption for all data in transit and encryption at rest for stored personal information. Access to personal data within our organisation is strictly limited to authorised personnel who require it to perform their role.

While we take every reasonable precaution, no method of electronic storage or transmission is completely secure. We cannot guarantee absolute security, and encourage you to use a strong, unique password for your PadelMate account.

Data Sharing

We do not sell, rent, or share your personal data for advertising purposes. We share your data only in the following limited circumstances:

Stripe — for secure payment processing. Stripe is PCI DSS compliant and handles all card data independently.

Supabase — our database infrastructure provider, operating under strict data processing agreements.

Trusted service providers who assist in operating our platform, bound by confidentiality obligations.

Legal authorities — only when required by applicable law, court order, or to protect the rights and safety of our users.

International Data Transfers

PadelMate is operated from Greece and our infrastructure may involve data processing in other countries, including within the EU/EEA and by providers in the United States (such as Stripe and Supabase). All international transfers are conducted in compliance with GDPR requirements, including through Standard Contractual Clauses (SCCs) where applicable.

By using PadelMate, you consent to your data being processed in accordance with this policy, including in jurisdictions outside your country of residence.

As a user of PadelMate, you have the following rights regarding your personal data:

Right of access — request a copy of the personal data we hold about you

Right to rectification — request correction of inaccurate or incomplete data

Right to erasure — request deletion of your personal data ('right to be forgotten')

Right to restriction — request that we limit how we process your data

Right to data portability — receive your data in a structured, machine-readable format

Right to object — object to processing based on legitimate interests

Right to withdraw consent — at any time, where processing is based on consent

Children's Privacy

PadelMate is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal information, please contact us immediately at contact@yourpadelmate.com and we will promptly delete it.

We may update this Privacy Policy periodically as our platform evolves or as required by law. When we make material changes, we will update the effective date at the top of this page and, where appropriate, notify users by email.
